PitchScheduler is a pitch and facility scheduling application used by sports clubs, schools, community organisations and venue administrators to manage bookings, users, teams, coaches, managers and pitch availability.

This Privacy Policy explains how PitchScheduler collects, uses, stores, shares and protects personal information, including information accessed through Google services.

1. Who We Are

2. Information We Collect

PitchScheduler may collect and process the following information:

• Name
• Email address
• Mobile phone number
• Club, team, group or role
• Booking details such as date, time, pitch, team name, session type and notes
• Login and access information, including user role and last login time
• Administrative audit information, such as who created or edited a booking and when

3. Google User Data

PitchScheduler may use Google services to support authentication, data storage, spreadsheet-based booking records, administrative workflows and application operation.

Depending on the configuration of the club or organisation using PitchScheduler, the app may request access to limited Google account or Google Workspace data, such as:

• Your Google account email address, where used for login or identity verification
• Your basic Google profile information, where used to identify you in the app
• Google Sheets data used by PitchScheduler to store and retrieve booking, contact and configuration records
• Google Drive files or folders used specifically for PitchScheduler configuration or data storage, where applicable

PitchScheduler only uses Google user data to provide and operate user-facing scheduling, booking, administration, access control and reporting features within the application.

4. How We Use Information

We use information to:

• Allow authorised users to log in to PitchScheduler
• Show pitch availability and existing bookings
• Create, update, duplicate or delete bookings
• Identify managers, coaches, administrators and authorised users
• Apply access controls based on user role
• Maintain audit records for booking changes
• Provide support, troubleshooting and service improvements
• Protect the security and integrity of the application

5. Google API Limited Use

PitchScheduler's use and transfer of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements.

PitchScheduler does not use Google user data for advertising, does not sell Google user data, and does not use Google user data to build unrelated profiles or for purposes unrelated to the operation of the PitchScheduler application.

6. Sharing of Information

PitchScheduler does not sell personal information.

Information may be visible to authorised users within the same club or organisation where this is necessary for pitch scheduling, team coordination, administration or support.

We may share information only where required to:

• Operate the PitchScheduler service
• Provide technical support
• Comply with legal obligations
• Protect the security, rights or safety of users, clubs, organisations or the service

7. Data Storage and Security

PitchScheduler data may be stored using Google services such as Google Sheets and Google Drive, as well as other hosting, application or support systems required to operate the service.

We use reasonable technical and organisational measures to protect personal information, including role-based access controls, restricted administrative access and audit records for booking changes.

8. Data Retention

We retain personal information only for as long as necessary to provide PitchScheduler, support club administration, maintain accurate booking records, comply with legal obligations, resolve disputes and enforce agreements.

Clubs or organisations may request deletion or correction of their data by contacting us.

9. Your Rights

Depending on your location and applicable law, you may have rights to access, correct, delete or restrict the use of your personal information.

10. Revoking Google Access

Users may revoke PitchScheduler's access to their Google account at any time through their Google Account permissions page.

Revoking access may prevent some PitchScheduler features from working correctly.

11. Children's Privacy

PitchScheduler is intended for use by authorised club, school, organisation and venue administrators, coaches, managers and approved users. It is not intended for direct use by children without appropriate organisational or parental oversight.

12. Changes to This Privacy Policy

We may update this Privacy Policy from time to time. Any updates will be posted on this page with a revised effective date.
